When a wedding detail changes, guests should not have to compare old cards, forwarded screenshots and several WhatsApp messages. Update one invitation link first, say exactly what changed in the first line of the message and contact the people whose travel or timing is most affected.
Create the new source of truth before sending a message
First confirm the new detail with the owner who can approve it: venue, planner, transport coordinator or family decision-maker. Update the invitation page, map link, transport note and event card together. Add a visible date and time of the update so a guest who opens the page later can tell it is current.
Then test the link and map on a phone. A change message that points to a stale page simply creates a second round of confusion, so do not announce a correction while the invitation still contains the old information.
Say the change before the apology or explanation
Important wedding update: the [Function] on [Day, Date] will now be held at [New venue, area] at [Time]. Please use the updated map and schedule here: [Link]. We are sorry for the change and look forward to celebrating with you.
Important timing update: the [Function] on [Day, Date] now begins at [New time]. Please arrive by [Guest arrival time]. The latest schedule and directions are here: [Link].
Transport update for [Function]: the shuttle will now leave [Hotel / pickup point] at [New time]. Please be ready 10 minutes earlier. The full itinerary is updated here: [Link]. Contact [Coordinator] if this affects your travel.
Do not write ‘minor change’ if guests need to leave earlier, travel to a different area or change a hotel plan. State the action they need to take plainly.
Send updates in the order of impact
- Call or personally message guests whose flight, hotel, wheelchair access, childcare, work shift or long-distance travel is directly affected.
- Message confirmed attendees next, with the new detail in the first sentence and one updated link.
- Update people who have not RSVP’d so they can decide based on the correct plan.
- Tell immediate family, wedding party, vendors and transport owners separately; they may need operational details that are not useful to guests.
- Ask one guest coordinator to log questions and report any person who has not seen an important update.
Keep old and new information from competing
Remove or clearly label obsolete cards, PDFs and screenshots wherever you control them. A static printed invitation cannot be edited, so the digital page should carry a short ‘updated details’ notice and be linked from every correction message.
Do not ask guests to remember which WhatsApp message is final. Reuse the same invitation URL and page title, update the content inside it and write ‘please use this link instead of earlier details’ when the change is material.
Use an update log only when there have been multiple changes
If the plan has changed more than once, add a small update log near the schedule: date and time of the change, the affected event and the final action for guests. Do not publish a confusing history of every internal decision; guests need the current plan and enough context to trust it.
Updated 14 September, 18:30: The wedding ceremony now begins at 09:30 at [New venue]. Guest shuttle leaves [Hotel] at 08:30. All other functions remain unchanged.
Make a final confirmation part of the run sheet
In the final week, ask the coordinator to confirm maps, contact numbers, shuttle departures and guest arrival times with the relevant owners. A small pre-event check protects guests from last-minute venue pin errors and prevents the couple from becoming the help desk on their wedding day.
Common questions
Frequently asked questions
How do I announce a wedding venue change?
Update one live invitation page first, then send a message that names the affected function, date, new venue and guest action in the first lines. Personally contact guests whose travel or accessibility plan may be affected.
Should I send a new wedding invitation when the time changes?
For a material change, a live invitation link gives guests one current source of truth. If printed cards are already in circulation, point every correction message to the updated page and state the new time plainly.
Who needs a personal call about a wedding update?
Prioritise guests whose long-distance travel, hotel, transport, accessibility, childcare or work schedule is affected, plus people who may not reliably see a digital message. A coordinator can handle follow-up so the couple is not fielding every question.
